Job Overview:
The Transport Officer is responsible for coordinating and managing the company's transportation activities to ensure the safe, efficient, reliable, and timely movement of employees, materials, and other authorized personnel. The role involves vehicle scheduling, fleet coordination, driver supervision, vehicle maintenance monitoring, and ensuring compliance with company transportation policies and safety requirements.

Key Responsibilities:

1. Transport Coordination

  • Coordinate daily transportation activities and ensure availability of vehicles for staff and official assignments.
  • Prepare and manage vehicle schedules and transportation plans.
  • Ensure timely pick-up and drop-off of employees and authorized personnel.

2. Fleet Management

  • Monitor the availability, utilization, and condition of company vehicles.
  • Maintain accurate records of vehicles, mileage, fuel consumption, servicing, and repairs.
  • Coordinate vehicle servicing, repairs, and routine maintenance with relevant service providers.

3. Driver Management

  • Coordinate and supervise drivers to ensure compliance with assigned schedules and company procedures.
  • Monitor driver performance, attendance, conduct, and adherence to safety requirements.
  • Ensure drivers possess valid licenses and other required documentation.

4. Safety and Compliance

  • Ensure all transportation activities comply with company policies, traffic regulations, and applicable safety standards.
  • Conduct regular checks to ensure vehicles are roadworthy and properly equipped.
  • Report and document vehicle accidents, incidents, and transportation-related issues.

5. Fuel and Cost Management

  • Monitor fuel consumption and vehicle-related expenses.
  • Maintain accurate records of fuel usage and identify unusual consumption or potential inefficiencies.
  • Support initiatives aimed at optimizing transportation costs.

6. Documentation and Reporting

  • Maintain up-to-date records of vehicle movements, maintenance, fuel usage, driver assignments, and transportation activities.
  • Prepare periodic transport reports and provide updates on fleet performance and operational issues.

7. Stakeholder Support

  • Work closely with Administration, HR, Security, Operations, and other departments to meet transportation requirements.
  • Respond promptly to transportation requests and resolve operational issues.

Qualifications and Experience:

  • B.Sc. in Transport Management, Logistics, Business Administration, or a related field with relevant post-qualification experience not less than 7 years.
  • Professional certification in Transport Management, Logistics, or a related discipline would be an added advantage.
  • Proven experience in transport coordination, fleet management, or a similar role.
  • Experience in managing drivers, vehicle schedules, maintenance, fuel monitoring, and transportation records.
  • Good knowledge of vehicle operations, road safety, and transportation regulations.

  • Regular interaction with drivers, employees, contractors, vendors, and other stakeholders is expected.
