Job Summary
The Fleet Store Manager is responsible for the end-to-end management of technical inventory for the fleet division, ensuring optimal availability of spare parts, lubricants, tools, and consumables. The role ensures zero operational downtime through accurate stock planning, fast turnaround of requisitions, and strict adherence to quality and safety standards. The position functions as a strategic bridge between maintenance workshops, procurement, vendors, and operations, ensuring that all parts are delivered in the right quality, right quantity, at the right time, and to the right location.
Key Duties & Responsibilities
Inventory & Warehouse Operations
- Supervise the daily operations of the fleet store across designated locations.
- Monitor spare parts, lubricants, tyres, filters, and consumable inventory to maintain optimal stock levels.
- Implement First-In-First-Out (FIFO) and First-Expired-First-Out (FEFO) principles.
- Ensure timely replenishment to support continuous and uninterrupted fleet maintenance operations.
- Conduct periodic stock counts (daily/weekly/monthly) and reconcile variances.
- Maintain a clean, secure, and audit-compliant store environment.
Procurement & Supply Chain Coordination
- Liaise with procurement on all spare parts requirements, providing technical specifications and lead-time expectations.
- Raise Purchase Requisitions (PR) and follow up with procurement to ensure prompt Purchase Order (PO) processing.
- Validate deliveries, ensuring items meet approved quality standards, OEM specifications, and contractual conditions.
- Maintain relationships with approved vendors for timely supply and warranty claims where applicable.
Process Compliance & Reporting
- Maintain accurate SAP ERP records for receipts, issues, stock adjustments, and transfers.
- Prepare daily, weekly, and monthly consumption and variance reports.
- Ensure compliance with company inventory policies, internal controls, and audit requirements.
- Support continuous improvement initiatives to strengthen stock accuracy and operational efficiency.
People Management & Collaboration
- Supervise store staff, assign tasks, and ensure adherence to SOPs.
- Handle conflict resolution and conduct staff performance evaluations.
- Collaborate with Maintenance Managers and Fleet Supervisors to forecast spare parts consumption.
Qualifications, Experience & Skills
Academic Qualification
- BSc or HND in:
- Business Administration
- Engineering (Mechanical/Automobile)
- Accounting
- Purchasing & Supply
- Marketing
- Any related technical or supply chain discipline
Professional Certifications (Added Advantage)
- CIPS, CIPSMN, NIM, or APICS certification
- Training in Inventory Control, Warehouse Management, or Fleet Maintenance
Experience
- Minimum of 8 years experience in Inventory & Stores Management, preferably within fleet operations, manufacturing, logistics, or technical warehouses.
Technical Competencies
- Strong proficiency in SAP ERP (MM module preferred)
- Solid understanding of automotive parts, lubrication types, and workshop tools
- Strong data analytics and financial reporting capability
- Knowledge of inventory methodologies (EOQ, ROP, ABC Analysis)
