Job Title/ Position: Facilities Officer

 

Reports To: Head, Facility Management.

 

Job Summary

The Facility Officer is responsible for the planning, coordination, supervision, and optimization of facility management operations across the organization. The role includes Cleaning & Water Distribution, Environmental Management, and Facility readiness & Maintenance functions to ensure the availability, safety, cleanliness, functionality, and sustainability of all facilities. He is responsible for driving operational excellence, regulatory compliance, cost optimization, contractor performance management, and customer satisfaction in line with organizational objectives and established KPIs.

 

 

Key Duties and Responsibilities

 
 
1.    Develop and implement facility management strategies, policies, procedures, and standards to ensure efficient service delivery across all facilities.
 

2.    Ensure all office buildings, operational areas, and common facilities are maintained in a safe, functional, and aesthetically acceptable condition at all times.
 

3.    Ensure compliance with approved cleaning schedules, hygiene standards, and service level agreements.
 
4.    Ensure uninterrupted distribution and availability of potable water across offices, residential estates, and operational locations.
 

5.    Oversee waste management, drainage maintenance, fumigation, weed control, and other environmental
 management activities in compliance with regulatory requirements and environmental standards.
 

6.    Manage preventive and corrective maintenance activities for buildings, office infrastructure, utilities, furniture, and associated facility assets.
 

7.    Monitor facility complaints, service requests, and maintenance work orders to ensure timely resolution and customer satisfaction.
 

8.    Develop and monitor facility maintenance plans, inspection schedules, and asset preservation programs.
 

9.    Manage facility management contractors and service providers, ensuring compliance with contractual obligations, service level agreements, safety requirements, and organizational standards.
 

10.    Evaluate contractor performance and recommend corrective actions where service delivery falls below expectations.
 

11.    Ensure compliance with all Health, Safety, Security, and Environmental (HSSE) policies, procedures, and statutory regulations applicable to facility operations.
 

12.    Prepare and manage unit budgets, cash calls, expenditure forecasts, and cost-control initiatives to ensure efficient utilization of resources.
 

13.    Review and approve Local Purchase Requisitions (LPRs), service requests, and procurement requirements relating to facility operations.
 

14.    Monitor inventory and utilization of facility-related consumables, equipment, and materials.
 

15.    Coordinate office space allocation, workplace planning, and facility utilization to ensure optimal use of available resources.
 

16.    Conduct regular facility inspections, audits, and condition assessments and implement improvement initiatives where necessary.
 

17.    Prepare periodic management reports, performance dashboards, presentations, and operational updates for leadership review.
 

18.    Liaise with internal and external stakeholders, regulatory bodies, contractors, and service providers to ensure effective service delivery and regulatory compliance.
 

19.    Drive customer service excellence by ensuring prompt response to facility-related issues and maintaining positive user experience across all facilities.
 

20.    Identify opportunities for process improvement, cost reduction, sustainability initiatives, and operational optimization.
 

21.     Maintain confidentiality, integrity, and security of all facility-related records, documentation, and information.
 

22.     Perform any other duties or assignments as may be delegated by the Head of Administration.
 
 
 
 
Key Requirements
 
Education and Work Experience
 

• Minimum of B.Sc. or HND in Facilities Management, Engineering, Environmental Management, Estate Management, Business Administration, or a related discipline.
 

• Minimum of 2–5 years relevant experience in Facilities Management, Property Management, Administration, or related field.
