Job Summary
The ISO Management Systems Coordinator is responsible for coordinating and maintaining the refinery's Integrated Management System (IMS), ensuring compliance with ISO 9001 (Quality Management), ISO 14001 (Environmental Management), ISO 45001 (Occupational Health & Safety Management), ISO 50001 (Energy Management), and other applicable management system standards. The role supports business units in implementing management system requirements, coordinating certification audits, driving continual improvement initiatives, monitoring compliance obligations, and ensuring that management systems remain effective, efficient, and aligned with the refinery's strategic objectives. The incumbent serves as the focal point for management system governance, audit coordination, process documentation, non-conformance management, and certification maintenance.
Key Duties and Responsibilities
2. Ensure compliance with ISO 9001, ISO 14001, ISO 45001, ISO 50001, and other applicable management system standards.
3. Develop, maintain, and periodically review IMS policies, procedures, standards, and process documentation.
4. Promote a standardized and integrated approach to management system implementation across all refinery functions.
5. Support alignment of management systems with operational excellence, sustainability, and business objectives.
6. Coordinate certification, surveillance, recertification, and external assessment audits for all applicable management systems.
7. Liaise with certification bodies, regulators, and external auditors on audit schedules, certification requirements, and compliance matters.
8. Maintain certification records and ensure timely closure of audit findings, non-conformities, and improvement actions.
9. Develop and coordinate annual management systems audit programmes across the refinery.
10. Coordinate internal audits and provide support, guidance, and training to internal auditors.
11. Monitor implementation of corrective and preventive actions arising from audit findings and compliance reviews.
12. Establish and maintain document control systems to ensure effective management of management system documentation.
13. Coordinate process mapping, business process reviews, and management system documentation updates.
14. Maintain procedure registers, document repositories, records retention schedules, and controlled documentation systems.
16. Identify areas for improvement and recommend corrective actions to strengthen management system effectiveness.
17. Coordinate Management Review Meetings and prepare management system performance reports and presentations.
18. Monitor and report management system key performance indicators, compliance metrics, and improvement trends.
19. Promote continual improvement initiatives through root-cause analysis, problem-solving methodologies, and lessons learned programmes.
20. Track improvement projects and support operational excellence and business improvement initiatives.
21. Support implementation and maintenance of ISO 50001 Energy Management Systems and related performance improvement programmes.
22. Support sustainability, decarbonisation, resource efficiency, and environmental performance initiatives requiring management system integration.
23. Develop and deliver management systems awareness programmes, training sessions, and competency development initiatives.
24. Promote understanding of management system requirements, roles, responsibilities, and compliance obligations across the refinery.
25. Develop and maintain management systems dashboards and performance monitoring tools to support effective decision-making.
26. Prepare monthly, quarterly, and annual management system performance reports and perform any other duties assigned by the Head, Sustainability & Decarbonisation.
• Minimum of a bachelor’s degree in engineering, Environmental Science, Quality Management, Industrial Technology, Business Administration, Occupational Health & Safety, or a related discipline.
• Preferred: Master’s degree in engineering, Quality Management, Environmental Management, Sustainability, Business Administration (MBA), or a related field.
• Minimum of 7-10 years relevant experience in Integrated Management Systems (IMS), Quality Management, Environmental Management, Occupational Health & Safety, Energy Management, Compliance, Audit, or related disciplines.
• Minimum of 3-5 years experience coordinating, implementing, maintaining, or improving ISO Management Systems.
• Experience within the refining, petrochemical, oil and gas, manufacturing, mining, cement, power, energy, or other heavy industrial sectors.
• Demonstrated experience implementing and maintaining management systems aligned with ISO 9001, ISO 14001, ISO 45001, ISO 50001, and other applicable international standards.
• Proven experience coordinating certification, surveillance, recertification, internal audit, and external audit programmes.
• Experience in process documentation, compliance monitoring, corrective action management, management reviews, and continual improvement initiatives.
• Experience supporting operational excellence, risk management, sustainability programmes, and business process improvement initiatives through management systems implementation.
